DepositResolve ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our self-help document preparation tools and related services.

2. Information We Collect

2.1 Information You Provide

  • Account information: Name, email address
  • Case information: State, property address, landlord details, deposit amount, move-out date, narrative description of your situation
  • Evidence uploads: Photos, documents, and files you choose to upload
  • Case tracker updates: Mailing dates, delivery confirmation, landlord responses, court filings, and outcomes
  • Payment information: Processed by Stripe — we do not store credit card numbers

2.2 Information Collected Automatically

  • Usage data: Pages visited, features used, time spent
  • Device information: Browser type, operating system, IP address
  • Analytics: Google Analytics 4 (anonymized)

3. How We Use Your Information

3.1 Service Delivery (Required)

We use your information to:

  • Generate and deliver your documents
  • Process payments
  • Provide case tracking and reminder services
  • Send transactional emails (purchase confirmation, letter delivery, case reminders)
  • Provide customer support

3.2 Service Improvement (With Consent)

With your explicit opt-in consent, we may use anonymized, aggregated case data to:

  • Improve the accuracy of our document templates and AI-assisted formatting
  • Identify common deduction patterns by state and property type
  • Generate anonymized statistical reports about tenant dispute outcomes
  • Improve user experience and tool effectiveness

Your individual case data is never shared, sold, or made available in identifiable form. Aggregated data is anonymized and cannot be traced back to any individual user.

You may optionally create a "Tenant Profile" that allows us to use your anonymized, aggregated case data for service improvement and statistical reporting. This is entirely voluntary.

  • Priority access to new tools and features
  • Contribute to the largest tenant dispute dataset — helping future tenants

You can opt in or out of the Tenant Profile at any time. Opting out does not affect your access to services you have already purchased.

5. Information Sharing

We do not sell your personal information. We share information only as follows:

  • Service providers: Stripe (payments), AWS (hosting and storage), Anthropic (AI document formatting)
  • Legal requirements: When required by law, subpoena, or court order
  • Business transfers: In connection with a merger, acquisition, or sale of assets

We will NEVER share your data with landlords, property managers, or any entity that could use it against you. This is a core, non-negotiable principle of our service.

6. Data Security

Your data is stored securely using AWS infrastructure with encryption at rest and in transit. Access is limited to authorized personnel on a need-to-know basis. Evidence uploads are stored in private S3 buckets accessible only via time-limited signed URLs.

7. Data Retention

  • Active cases: Data retained for the duration of your case plus 3 years
  • Closed cases: Anonymized aggregate data retained indefinitely; identifiable data deleted after 3 years
  • Payment records: Retained as required by tax law (typically 7 years)
  • Evidence uploads: Retained for 1 year after case closure, then deleted

8. Your Rights (CCPA / State Privacy Laws)

Depending on your state of residence, you may have the following rights:

  • Right to Know: Request what personal information we have collected about you
  • Right to Delete: Request deletion of your personal information
  • Right to Correct: Request correction of inaccurate personal information
  • Right to Opt-Out: Opt out of the sale or sharing of personal information (we do not sell data)
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights

9. Cookies & Tracking

We use essential cookies for site functionality and Google Analytics 4 for anonymized usage analytics. We do not use advertising cookies or cross-site tracking. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.

10. Children's Privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date.
